NEW Eligibility Period Extension

It is now possible for supervisors to set an extension to the expiration date of users for their completed items.

This new feature was implemented to allow the adjustment of the eligibility period of users during exceptional situations, without having to modify the existing entries. This will make it much easier for managers to handle situations with exceptions, all while keeping full transparency of the changes that were put in place.

Some conditions apply to allow the extension of the validity period. For more details, see the section about extensions in the FAQ.


NEW Progressive Invalidation

Supervisors can now provide a grace period during the invalidation of the eligibility of a user for a completed item.

This new feature allows managers to offer a window to the user so he can complete the invalidated item once again, without appearing immediately as expired.


NEW Batch Invalidation

Supervisors now have access to a new feature allowing to invalidate the eligibility of multiple users simultaneously for a training or a document.

The new option "Invalidate all eligible users" is now available from the page of a training or document. This will open a modal in which you must provide the reason why the eligibility of users is invalidated. You then have the option to invalidate all users that are currently eligible, or select individually each user to invalidate.


NEW Action Log for Internal Training Attempts

It is now possible to access a list of the actions made by the user during an internal training, as well as the changes made by the supervisors. This new feature allows supervisors to know at which moments the users were taking their internal trainings.

Note

Only changes or actions made after 2023-10-01 will appear in the list.

NEW Report of the Times when Users were in Training

A new report is now available for supervisors. It allows to quickly see the different moments during which users were taking their internal trainings.


You can access this new report in the Users section of the reports.

IMPROVEMENT Modify an Archived Training or Document

It is now possible to make changes to an archived training or document, without having to restore it.


Supervisors have a limited access to bring changes to an archived item. When the item is archived, it is possible from the page options to edit:

  • Information of the training or document.
  • The questions (Internal Trainings Only).
  • The slides (Internal Trainings Only).
  • The slides duration (Internal Trainings Only).
  • The slide media (Internal Trainings Only).

IMPROVEMENT Allow the Addition of Attempts in the Future for Documents

It is now possible to submit an attempt in the future for a document, under certain conditions:

  • The attempt added in the future must have a continuity link with an already existing valid attempt for the document.
  • The new attempt can only be added when the document is available for renewal (within the availability period).

This new feature allows users and supervisors to submit documents and certificates as soon as they have been received to avoid renewal at expiration, such as driver's license renewals that are received in advance.


IMPROVEMENT Allow the Removal of Groups from Memos In Effect

It is now possible to remove the assigned groups from a memo that is In Effect.


This is useful for preventing new users of a group previously targeted by a memo from being assigned to this memo.

NEW Edit and Approve an attempt as a supervisor

Supervisors can now edit attempts submitted by users during the approval request revision.

This change was implemented in order to allow managers to correct requests without having to decline it and wait for an update from the user when possible. An additional objective is to eliminate situations where a supervisor will choose to approve an incorect attempt, in order to later manually correct it. As a result, the changes history for these attempts will remain coherent with the actual situation during their approval, reducing the risks of being challenged during an audit.


The approbation form for a request has been updated to simplify the experience for supervisors, and the new option Edit then Approve is now available.


IMPROVEMENT Attempt Changes History Updated

The table presenting the changes history for an attempt was replaced in order to offer a quick overview of the modifications made. This change is also a required enhancement in anticipation of future platform improvements.

NEW Notifications for Hybrid Users

Supervisors with hybrid accounts now have a new notification icon to alert them of important updates from their user account.

This change was implemented to ensure that supervisors don't forget to check their user account when they have items to complete soon.


IMPROVEMENT Include Grading in Training Certificates

Certificates of completion for internal trainigns now include the grade of the user for the attempt in question.

NEW Internal Training Preview

Supervisors can now simulate an internal training without having to assign it to them in a user account. This allows to review and test out the training experience from the users' perspective, for both the theory and exam sections of the training.


To access an internal training's preview, go to its page and click on the new LAUNCH button located in the general tab of the information panel. For more details, refer to the Supervisor Guide.


NEW Review Theory Content for Users

It is now possible to grant users access to the theory slides of an internal training once it has been completed. This enables employees to review the content of a training if necessary, even when it is not within their availability window.


Supervisors can activate this feature from the Edit Training Information page. For more details, refer to the Supervisor Guide.

Note

  • By default, the option that allows users to review the training is deactivated.
  • Users will not be able to review the exam section of a training.

NEW Assign Dependents to a Training or Document

It is now possible for supervisors to directly assign the dependents of trainings and documents. These are the other documents and trainings that will be unlocked only after successfully completing the current one.


IMPROVEMENT Item Type Tags for Prerequisites & Dependents

Prerequisites and dependents now include a tag before their title, which makes it easier to identify where they are located within the platform.


The new item type tags are displayed in the following sections :

  • List of dependents and prerequisites when creating or editing an item.
  • List of dependents and prerequisites in an item's information page (Prerequisites tab).
  • List of dependents and prerequisites of an item when assigning trainings and documents to a user (Example above).
  • List of prerequisites that will be automatically assigned when assigning users to a training or document.


IMPROVEMENT Adjustment of Content for Memo Export to PDF

Adjustments were made to the PDF export format of memos to include fields that were previously missing. These include the priority status and the validation questions asked to users.

NEW Expiration Calculation Type: Predefined Date Expiration

A new expiration type is available when creating or editing a recurrent training or document.

The Predefined Date Expiration type is meant for trainings or documents that always expire on the same date in a given cycle, regardless of when the document is issued. For example, Driver licenses fall into this category, since the expiration date is always based on the birth date.


Users submitting their attempts for items of this expiration type will now be able to enter both the issued date and the expiration date.

For more details, refer to the FAQ section about expiration dates.


IMPROVEMENT Custom Initial Expiration for Fixed Date & First of Next Month Items

It is now possible to provide a custom renewal date when adding a user's first attempt for items with expiration types Fixed Date and First of Next Month. This allows to preserve existing renewal sequences when integrating new users to the platform.

Note

This feature is not available for batch import.


IMPROVEMENTS Platform Performance and Consistency Adjustments

Performance Improvements

The Nabu Pro platform has been further optimized in order to increase its performance. Internal improvements were made in order to make the application faster when loading the main sections of the platform (Users, Trainings, and Documents pages).

Preventing Attempts in the Future

The platform will no longer allow users and supervisors to set dates in the future for completed attempts of trainings and documents. This change was made because setting dates of completion in the future is inconsistent and to prevent input mistakes.

Active Memos renamed to Pending Memos

The Active Memos section was renamed to Pending Memos to remain consistent with the memos' status and to avoid confusion.
This does not change the behavior of memos.

Neutral Dashboard

The supervisor dashboard has been made more neutral in order to avoid misrepresenting the compliance situation in cases of exceptions. The Users and Memos icons will no longer display a color based on the status of all items.

IMPROVEMENT User License Billing

Version 2.6 consists of an update affecting the billing of user licenses; Therefore, it does not bring any new functionality to the platform. As for license management, the following changes have been made :

  • When a user is archived, his license becomes vacant and can be reused to create or restore another user as long as it is active.
  • Variations in billing may occur. Affected customers will be contacted beforehand.

IMPROVEMENT Automated Notifications for Memos

Email notifications sent to users are now sent automatically by the Nabu Pro platform, freeing supervisors from the task to define them manually.

This change aligns with a change to user reminder notifications that aims to:

  • Centralize all reminders in a single communication
  • Simplify life for supervisors by eliminating automatable tasks.

Updated Email Schedule for Users

The new format will notify users:

  • As soon as an item becomes available
  • Every Monday, with a summary of any items to be completed in the next 30 days, if applicable
  • 4, 2, 1 day before expiration and same day, if an item is still due

Here's a preview of the new notification format:


NEW Urgent Memos

Nabu Pro now allows supervisors to give memos a priority status of Urgent. Setting memos as Urgent will force assigned users to read the memo before they can complete their other assigned items in the platform.


Supervisors can use this new feature to ensure users have read and understood any critical information shared as soon as possible.


NEW Archived Memos

Nabu Pro now allows supervisors to archive memos that are no longer relevant. This feature is now available for memos that are In Effect and can be accessed from the page options of the memo.

A new page for your archived memos can be accessed from the In Effet memos page, where you can find a new Archived Memos button in the upper-right corner.


Supervisors can use this new feature to better manage old memos and reduce clutter within the platform, without losing access to the information that was collected.

Note

  • Archived memos do not appear in your list of In Effect memos, and are not displayed when assigning memos to users or groups.
  • Users will no longer be able to view archived memos in their history of memos previously read.

Automated Memo Archive

The memo creation form now includes a new field allowing to set a predetermined period of time after which a memo will be archived automatically. The countdown for this time period is initiated when the memo becomes In Effect.

Memos for which the archival delay has passed will be archived the following Sunday. A reminder email is sent the Monday prior to the supervisors who created the memos that will be automatically archived at the end of the week.

For example, for a memo that takes effect on 2023-01-01, setting an automatic archival delay of 1 week will set the automatic archival date to 2023-01-08. That memo will be automatically archived the first Sunday starting 2023-01-08 (in this example, Sunday January 8th). The supervisor who created the memo will receive a reminder email the Monday prior (in this example, Monday January 2nd).

Note

A memo will only be archived if its status is In Effect at the time of the automated archival date.

  • A memo must be read by all assigned users to become In Effect.
  • If the memo is still Active at the automated archival date, the system will attempt the archival again the following week.


NEW Memo Questions

Memos created within the Nabu Pro application can now include multiple choice questions. These are meant to provide managers with an instant validation that users have properly understood its content.

Supervisors can ask up to three questions per memo. Each question must be unique and their answers can't have duplicates.


Note

When a memo includes questions, users must provide the correct answer to all questions to confirm that the memo has been read. If any question is not answered properly, the user will have to reread the memo and can resubmit it after a one minute delay.


NEW Custom Deadline for Memos

Supervisors can now set a custom deadline for users that are added to a memo after its creation. This makes it possible to give newly assigned users a time window within which they will be able to read the memo without being considered as expired in the platform.

This change was made to avoid the situation where users appear as expired in the platform because of newly assigned memos.


IMPROVEMENT Memo Serialization

The platform now provides memo number suggestions when creating a new memo in order to simplify their serialization. The system will automatically provide you with the next number for your series based on the prefix entered.

Note

For example, if you already have a memo with the number Test-003, the system will suggest Test-004 for your next memo number that starts with the term "test".


IMPROVEMENT Memo UX for Users

The presentation of memos to read has been improved for Nabu Pro users. The new layout makes it easier for users to read and focus on the important content.


IMPROVEMENT New Wizard for Assigning Groups

Supervisors are now presented with an improved workflow when assigning or modifying the groups of users or items. The new wizard now takes supervisors through multiple steps in order to facilitate the adjustment of elements affected by the group change.

The new workflow varies based on the element that is being modified :

  • Assigning groups to users: Edit Groups > Update Trainings and Documents > Update Memos
  • Assigning groups to trainings, documents and memos: Edit Groups > Update Users

This change minimizes the risk of leaving users unassigned for items that they must complete, or leaving items assigned that are no longer required for the users.

NEW Comments field for trainings and documents

Supervisors can now add internal notes to a training or document in the new Comments field made available when creating or modifying an item. These comments will only be visible for supervisors in the platform ; Users don't see them.

Note

The field that was originally named Comments was modified and now appears as Instructions for Users.
Notes entered in this field will be visible by users and are presented when they start the item.


IMPROVEMENT Filter Approval Requests Awaiting Approval

The supervisor dashboard now offers the possibility to filter users by your preferred groups in the External Training or Document Approval Requests Awaiting Review section.

Note

If you chose to automatically filter resources by your preferred groups in your account preferences, this section will have the filter applied by default.

IMPROVEMENT Supervisor Email Notifications Updated

The automatic alert system for the Nabu Pro platform was updated in order to reduce the number of emails sent out to supervisors.

New Format for Compliance Alerts

The new format covers the entire eligibility situation of the company, including trainings, documents, and memos within a single summary. It identifies three important situations :

  • Users who's eligibility expires within the next 7 days.
  • Users who are currently expired.
  • Trainings that must be enabled to allow one of the users listed previously to complete it.

Fewer emails in your mailbox !

The alerts are now delivered at most twice per week, on Tuesdays and Fridays, only when there is a compliance element that requires the attention of the targeted supervisor.

Lighter emails !

The new format should only include users belonging to your groups, when all users and supervisors are assigned to groups according to your needs.



NEW Supervisor Email Preferences

Supervisors can now customize their preferences for email notifications received from the application. You can find a new section called Email Preferences available by navigating to the My Account page as a supervisor :

IMPROVEMENT Changes to the User Interface

The user side of the Nabu Pro platform has now been updated with a new look, which is similar to the recently improved supervisor interface :

New Internal Training UX

As you can see from the screenshots above, the user interface was also updated for internal trainings taken within the platform. This change affects both the theory and exam sections of trainings taken within the application.


IMPROVEMENT Upgraded file upload widget

The widget used to upload files or attachments to the Nabu Pro platform has been improved. This upgrade fixes some minor issues that would occur when adding or removing files to the application.

IMPROVEMENT Changes to the Supervisor Interface

The Nabu Pro platform now has a new look, which includes changes to the supervisor interface :

Options Button

You will find a new button ( Page Options ) to access the page options within the application. It is anchored in the upper right section of the screen, which makes it always available even when you scroll down the page.


IMPROVEMENT Groups replace Departements

The Groups section now replaces the previous Departements section.

This change is intended to encourage supervisors to establish their groups within the platform according to the different user profiles which demand a distinct portfolio of eligibility criteria to perform their operations, and not only according to the different departments existing within the company. Those can still remain relevant, depending on your needs.

Note

This change does not affect the functionalities previously in effect.


NEW Applying Filters: Exclusive or Inclusive (OR/AND)

A new feature is available to filter your tables of items within the Nabu Pro platform :

This new button, located to the right of the filter by group field, allows you to determine how the group filters will be applied in your table of items:

  • exclusive filter : Applies exclusive filters; All the items belonging to at least one of the selected filters will appear in the table.
  • inclusive filter : Applies inclusive filters; Only the items belonging to all selected filters will appear in the table.


IMPROVEMENT New Widget for Duration Input

When a supervisor adds a training attempt retroactively, a new widget is now available to enter the duration of the attempt more easily:


You can enter the duration of a training attempt using the three fields (days, hours, and minutes).

Note

  • You can enter a negative value in a field to subtract time.
  • The final value must remain between 1 minute and 1000 hours.

IMPROVEMENT New user interface to manage internal trainings' content

A new user interface is now available when creating or editing questions, adding media to slides, and setting minimum time requirements for each slide.

Create Question

When creating new questions for your internal trainings, you are now presented with a new question creation wizard that will guide you through all the steps and fields required to create your question.


Edit Question

When editing your questions, you are now presented with a new window that includes all relevant fields. Click on the Images tab to add or edit images presented with the question.


Edit Slide Duration

This window features an improved presentation, allowing to see the contents of the slides more clearly.


Edit Slide Media

This window presents all slides available for the training. Click on the Edit icon to access the table of slide media for the selected slide. From here, you can edit the existing slide media, or click on the Plus icon to create a new media. A pop-up window will appear, allowing you to select a file or hyperlink to present with the slide :


IMPROVEMENT Group preferences (previously departments) more flexible

Nabu Pro version 2.0 now offers supervisors the choice to apply or not your automatic filters by preferred groups for the resources displayed in your tables. This allows supervisors to define their groups for which notification emails will be received, without affecting the presentation of tables within the platform.

You will find a new checkbox in the My Groups (previously My Departments) section of the My Account page, allowing you to activate this function :


If you do not activate this option, you can still quickly filter your tables by using the shortcut button ( sélectionner mes groupes ). Once the option is enabled, your table items will be automatically filtered according to your preferred groups, as it was the case by default prior to version 2.0 :


You can click on the shortcut button ( sélectionner mes groupes ) to quickly remove or reapply your automatic filters to the table.

Note

The shortcut button is not available if your supervisor account has no groups set.

NEW Universal Login Page

It is now possible to reach your company's Nabu Pro login page directly from our website, Nabupro.com.

You can access our Universal Login Page by clicking on the Login button located in the top right corner of our website.


To access your company's application, you need to enter your company code in the field. Your company code is provided to you by Nabu Pro, and will include a combination of both numbers and characters.

Supervisors can access this information by heading to their account options in the upper right corner of the application, and selecting the new option available, Company Settings.

Note

You should send your company code to all users, allowing them to access the Nabu Pro application even if they forget the company's URL address.


NEW FAQ Section added to our Documentation

A new resource is available in our Documentation to answer supervisors' most frequently asked questions. You can access this new FAQ from our documentation page.


You can click on any question featured at the beginning of the section to navigate directly to the relevant information. You can also use the search field located in the upper right corner to search for specific questions.

New Help Button

You will now find in the lower right corner of your supervisor application a new help button. Clicking here allows you to navigate quickly to either the new FAQ section or the Supervisor Guide.

NEW Custom Available and Expiring Soon Time Window for a Training or Document

It is now possible to set the time window during which trainings and documents will appear as Expiring Soon for users in the supervisor dashboard. For instance, by setting the Expiring Soon time window to 15 days for a given training or document, users will appear as Expiring Soon only 15 days before their eligibility expires.

This also means that the Time Window for Completion field, now called the Available for Completion Window, no longer affects the Expiring Soon status of your users.

New Widget to set your Time Windows

Where you would previously find the Time Window for Completion field when editing your training or document, you will now have access to a helpful widget allowing you to dynamically set your preferred settings for both time windows. You can still enter your desired time windows manually in the fields located above it. The widget will automatically adjust its position to visually reflect your chosen dates.

Do I need to Change Anything?

If you are satisfied with the current settings, no changes are needed. The Available and Expiring Soon time window for all new trainings and documents remains to the default 30 days for each. Otherwise, your existing trainings and documents will keep their current settings.

How to Change these New Settings

To change any of those settings, visit the Edit Information Page of the training or document:
Select a training / document --> Options --> Edit Training / Document Information.


NEW Training and Document Change Logs

From now on, all changes made to a training or document (excluding assigned users and departments) will be logged within the application. Supervisors will be able to access this information, allowing them to track changes through time and across different versions. You can find this new feature by going to the training or document of interest, where the new option List of Changes Made is now available for users with the required permissions.

Training and Document Version Tags

It is also possible for supervisors to create version tags in the List of Changes Made table, in order to clearly identify series of changes associated with a specific version of the training or document.

  • Created tags will appear in the List of Changes Made table and will show the details that were provided about the version.
  • Supervisors can generate a PDF export for the tag, which lists all the change log entries preceding the tag, up to the previous version if any.

NEW Immediate Supervisor of Users

Supervisors now have the possibility to set an immediate supervisor when creating or modifying a user account. They can view the immediate supervisor field in the user's profile information. This information will also appear in the printed invoices received from Nabu Pro, allowing you to track your expenses with more ease.

NEW Updated Automatic Email Schedule

Adjustments were made to the number of automatic email notifications sent by the application. Here are the new rules:

USERS:

  • The day an item becomes available (8:30)
  • 15 days prior to expiration (8:00)
  • 5 days prior to expiration (8:00)
  • 3 days prior to expiration (8:00)
  • 2 days prior to expiration (8:00)
  • 1 day prior to expiration (8:00)

SUPERVISORS:

  • 5 days prior to expiration (8:15)
  • 1 day prior to expiration (8:15)
  • Weekly email on Wednesdays of users who are expired (16:00)
  • Biweekly email on Tuesdays and Fridays of users who have not read a memo (9:00)

NEW Partial view of archived users

Supervisors now have a limited access to an archived user's profile. They can view what items the user has previously completed and download a summary report of them.

  • The archived users list allows to click an archived user and access its details page.
  • The supervisor can export the archived user profile to a PDF report.
  • If the supervisor has the permission to do so, he can restore the user from the upper right button of the archived user details page.

IMPROVEMENT Better Indication of Prerequisites when Assigning Trainings and Documents.

When modifying the trainings and documents assigned to a user, supervisors now have a clearer view of the prerequisites of a training or document, as well as its dependants (the trainings or documents for which itself is a prerequisite).

As it was previously, the trainings or documents that have prerequisites or dependants have a yellow warning icon, and from now on, clicking on the icon opens a dialog with all the information.

Also, from now on, there can be checked items that are disabled. This indicates that one or more items for which the present disabled item is a prerequisite are currently selected. For the disabled item to be deselected, its dependants must be deselected as shown in the example below:

Better Indication of prerequisites when Assigning Trainings and Documents

IMPROVEMENT Customize the User Compliance PDF Report.

When generating the PDF export of the user profile on the user details page (upper right corner of the table of items to complete), a new dialog offers the possibility to tweak the report to be generated in the following manner:

  • whether to include all memos previously read by the user.
  • whether to include all trainings or documents that were previously completed and that are no longer assigned to the user.
  • whether to include the memos that the user has not yet read.
  • Whether to filter the report by the departments currently selected in the table's department filter.

IMPROVEMENT Allow Depatments Filtering in the Training Compliance Report.

When generating a Training Compliance Report, supervisors now have the possibility to filter by the departments currently selected in the table's department filter, similarly to the User Compliance PDF report mentioned above.

When on the Training details page, click the Generate PDF button on the upper right corner of the table. A dialog will show up prompting the user to apply the departments filter. Note that for departments to appear, they must be initially selected in the table departments filter, as you can see on the image below:


NEW User Previously Read Memos.

Supervisors now have access to the list of the memos a user has previously read.

In the Users detail page, select the Options menu; there, you will find the new entry Completed Unassigned Items and Read Memos that replaces the previous entry No Longer Assigned Trainings and Documents Completed. This new entry allows in a single view to see both previously read memos and, as it was previously, the trainings and documents that were completed but that are no longer assigned.

    • the expiration period, the completion window

    The parameters that were overwritten have been reset and the renewal dates of attempts that have been affected by the bug were fixed to properly match the client specific parameters.

It is now possible to add comments to an internal training in the same way it can be done for external trainings and documents. The comments are displayed in the information panel on the training details page and are modified in the information editing page for a training.

It is now possible to add a note to a retroactive attempt when creating or updating it. The note is available from the retroactive attempt options as shown on the 2 figures below:

NEW Two User License Levels: Control and Communication

Staff users are now divided in 2 different license levels: Control and Communication.

Control Level Users

The Control license is assigned by default to all existing users. It gives access to all the features: memos, trainings and documents.

Communication Level Users

The Communication license targets users who need to be informed of company communications, but don't need to be assigned to trainings and documents. This license allows to have the entire team in the loop without paying full price.

License Management

  • New users are assigned to a license at creation time.
  • Existing users are automatically assigned to the Control license.
  • A user's license can be upgraded or downgraded at anytime by visiting the user details page options.
  • When upgrading from Communication to Control, the difference is billed prorated based on the time left on the initial license. E.g., if a yearly license expiring in 45 days is upgraded, the cost difference between the licenses is billed for a 45 day period.
  • When downgrading from Control to Communication, no refund is provided and the user can be upgraded back to the higher license level free of charge until the renewal of the license.

NEW Assign Several Memos to Users

To facilitate the process of assigning memos to users, especially when onboarding a new user, we now allow to assign memos in the same fashion as trainings and documents are assigned.


As shown in the figure above, selected memos are highlighted and their total count appears in the right section. Notice that memos are displayed in inverse chronological order and already effective memos have the date on which they became active highlighted in green.

You have also probably noticed a Filters button above the list of memos. This is a new feature that improves the navigation on pages with assignable items. See the next section for details.


NEW Filtering Assignable Items

All pages where items are being assigned (memos, trainings, departments, etc.) now have a filter section that facilitates the selection of items. The video below shows how users can:

  • Filter items by title or name
  • Filter items by departments
  • Quickly filter items by the subject's departments (e.g., the user's departments when assigning to a user trainings or memos)
  • Show items of a certain type only
  • Show the selected items only
  • Know at all time the number of items selected and the number of them currently visible with the filtering
  • Clear all filters

As the content in the platform grows bigger, assigning items grows more painful, this is why we have provided this module in order to ease the process.

IMPROVEMENT Eligibility Panel Filters

The numbers displayed on the eligibility panels are now synchronized with the filters applied. For example, if the list of users is filtered by departments, the totals displayed reflect the filtering currently applied, as you can see in the video below:

NEW Custom Time Window for Completing a Training or Document

It is now possible to set the time window during which trainings and documents are available to the user for being completed. For instance, by setting the time window to 60 days for a given training or document, users can complete it up to 60 days before they expire. This also means that users will appear as Soon Expiring during this 60 day period prior to their expiration.

How will Renewal Dates be Affected?

Expiration date calculation has been modified to better adapt to the new functionality. There are now 3 options that consist of the following:

  1. Expiration Based on the Last Renewal Date:
    For example, for a yearly training that was completed on August 5 2020, the next deadline is August 5 2021. If it is renewed on July 27 2021, then the following deadline will be July 27 2022.
  2. Expiration on Same Date:
    Expiration is always scheduled to the same day. For example, for a yearly training that was initially completed on August 5 2020, the next deadlines will always be on this same day every year. If it is renewed on July 27 2021, the following deadline will still be August 5 for year 2022, as long as the training is renewed on time.
  3. Expiration on First of Next Month:
    Expiration is set to the first of the next month following the initial completion. For example, for a yearly training that was completed on August 5 2020, the following deadlines will be on the 1st of September every year as long as the training is renewed on time.

Do I need to Change Anything?

If you are satisfied with the current settings, no changes are needed. The time window for all trainings and documents remains to the default 30 days. All trainings and documents that would normally expire on the first of next month remain the same, while the other ones are set to expire based on the last renewal date, as it was prior to this update.

How to Change these New Settings

For changing any of those settings, visit the Edit Information Page of the training or document:
Select a training / document --> Options --> Edit Training / Document Information.

NEW Training and Document Prerequisites

Note that all the information about this feature is also valid for documents.

It is now possible to set prerequisites so that trainings are completed in a specific order. When prerequisites are set for a training, the system checks that the user has completed all of them before enabling the training. If prerequisites are not met, the user is informed of which training or document he must complete to unlock the training, as shown in the figures below:

Managing prerequisites can often get messy so the system automatically takes care of the following:

  • When setting prerequisites for a training, all users currently assigned to the training will also automatically be assigned to the new prerequisites if they are not already. An email notification will be sent to inform those users that they have been assigned to the prerequisites.
  • When assigning users to a training that has prerequisites, the new users will automatically be assigned to the prerequisites if they are not already. The email notification already sent to new users will also inform them about the prerequisites.
  • When assigning trainings to a user, the prerequisites of the selected trainings will automatically be assigned to the user.
  • Prerequisite trainings cannot be archived.
  • When duplicating a training, the prerequisites are also transferred to the duplicated training.
  • A training cannot have as a prerequisite a training for which it is a prerequisite (no circular dependencies).

IMPROVEMENT Question Editing UX Improvement

The question content editing page now allows to edit question references. This allows to do more actions with less navigation between pages. The save button has also been improved to provide the possibility to directly create a new question.


As you can see on the figure above, the edit references module does not include the slides preview. If a preview is needed, the user can do the following:

  • Open a second tab that displays the list of slides;
  • The previous question references edit page that has a slide preview is still available.

Other improvements and Bug Fixes :

  • IMPROVEMENT The dashboard cards have been improved in order to avoid content juxtaposition when rendering on smaller screen sizes.
  • IMPROVEMENT When the successful training completion email notification is sent, the certificate, if properly set for the training, will be included in attachment.
  • IMPROVEMENT  1.18.5 - Improved the targeting of recipients for supervisor email notifications so that emails are sent only to the supervisors who share departments with at least one of the users mentioned in the email.

    Initially, the departments shared with the mentioned trainings were also included, which caused some supervisors to receive emails about users they were not related to.

NEW One Email for Both Supervisor and Staff Account

It is now possible to create a supervisor from an existing user, and, vice versa, a user from an existing supervisor. Such users will appear with a hybrid label in the supervisors table. Hybrid users have a switch button in their navigation bar to switch between the supervisor and user account.

NEW Duplicate a Training or Document

It is now possible to duplicate a training or document. The resulting training / document will have the same:

  • Configurations (frequency, instructor, reference document, etc.) except for the start date;
  • Training content (for internal trainings);
  • Assigned departments;
  • Assigned users.

NEW Invalidate User Eligibility for a Training or Document

It is now possible for supervisors to invalidate a user's eligibility for a training or document in order to force immediate renewal. Careful, this action is irreversible.

NEW Disable Supervisor Email Notifications

It is now possible for supervisors to disable the email notifications. As a result, the supervisor will no longer received notifications for:

  • Completion of a training by a user;
  • Submission of a document or an external training certificate by a user;
  • Acknowledgement of reminders sent to users for completing a training, reading a memo, or submitting a document or certificate;
  • Expired users.

Email notifications can be disabled in the supervisor account settings.

NEW Documents Section

A documents section has been added in order to separate external trainings from documents. Documents will behave the same way external trainings do, with the only difference that they will have their specific section.

Note that additional permissions were added for the documents. Default permission groups with granted permissions related to trainings were granted the equivalent permissions on documents. Do not forget to update your custom permission groups as needed.

It will be possible for supervisors to move existing external trainings to the documents section and vice versa using the new action Move to Documents Section from the training details's page option menu:

NEW User Details Page Provides a Broader View

The user details page now provides a full overview of the user profile. Instead of only showing the status on trainings only, it will also show documents and pending memos:

  • IMPROVEMENT When a trainee is doing the theory section of a training, he is now able to access the medias from the previous slides.
  • IMPROVEMENT In the supervisor side User Details Page, the list of trainings the user has to complete now shows explicitly if a training is disabled or has no content, so that the supervisor can directly know if the trainee has currently access to the training or not.
  • BUG FIX Restored users are no longer automatically assigned to all the trainings and documents that were added to the system while the user was archived.
  • IMPROVEMENT The platform now makes sure that a slide media is fully uploaded to the server before making it available for viewing.
  • IMPROVEMENT The question editing module has been improved to provide a more fluent flow when it comes to adding question and answer content.
  • IMPROVEMENT When deleting questions for a training, if the new total of questions is inferior to the previously set number of questions to be asked, then this number will automatically be reset to the total number of questions.

NEW Step by Step Creation Process for Memos, Users and Trainings

The creation process for trainings, users and memos has been improved with a step-by-step process. This allows to group together the actions, reduce their number and provide consistency across the board. The 3-step process consists of the following:

  1. Create the memo, training or user;
  2. Assign the departments it belongs to;
  3. Assign users (for memos and trainings) or trainings (for users).

NEW Assign Memos to Users (Directly)

It is now possible to directly assign the users required to read a memo, in the same manner users are assigned to a training. For this, the memo options have been modified to have the following:

  1. Edit Content;
  2. Edit Departments;
  3. Edit Users;

Finally, just like a training, the memo's departments serve as a shortcut to easily select a group of targeted users.


NEW Add Departments and Users for Memos in Effect

It is now possible to add users and departments for a memo that is effective (archived or pending-late). This eases the process of informing new users about passed memos. When new users are assigned, the memo becomes pending-late until all of the newly assigned users have read it. See the example below:

Editing the departments for a memo, training or user, often leads to editing the assigned users or trainings afterwards. So, to speed up the process, the save button in departments editing pages provides the possibility to directly jump to editing the assigned users or trainings, as shown below:
